Scope of Implementation
After a thorough analysis of its business and industry-specific needs, Accace decided to implement the Microsoft Dynamics 365 Business Central ERP system. The implementation scope covered the full transformation process – from pre-implementation analysis and process mapping, as well as system design, through environment configuration, data migration, and user training, up to the go-live phase in the production environment. The implementation also included integration with Outlook and Excel as part of the ERP software platform.
The main goal was to cover key financial and accounting processes, financial data tracking, and ensure full compliance with Polish accounting and tax regulations. As part of the project, the Polish localization of Business Central, developed by Companial, was implemented. This enabled the system to meet Polish reporting requirements, including JPK (SAF-T) file handling, automatic report generation, and advanced VAT registers.
A key element of the project was the deployment of the APAF (Advanced Polish Accounting Features) module, which – thanks to NMI ERP's experience – was successfully implemented. This solution automates and supports the optimization of processes such as account reconciliation, VAT reclassification in foreign currencies, delegation handling, and overdue payment reporting. It allows Accace to operate in compliance with local regulations while also increasing operational efficiency. The completed project also improved customer service quality.

Challenges and Dedicated Solutions
Implementing an ERP system in an outsourcing-oriented company like Accace required addressing the specifics of its operations – project management, cooperation with multiple clients, and processing large volumes of financial data in an automated and secure way.
A key challenge was not only ensuring compliance with legal regulations but also providing the system flexibility needed to adapt to evolving rules and operational and sales needs. Since the standard version of Business Central does not include the full range of functionalities required on the Polish market, NMI ERP proposed dedicated mechanisms. In addition to the Companial localization, the advanced APAF extension was also implemented.
This approach allowed for a precise response to the client's needs, increasing automation, reducing the risk of errors, and facilitating the daily work of the accounting department.
Implementation Timeline
The implementation process was planned and carried out in a short, intensive period – from March to the end of April 2025. To ensure an effective rollout, the implementation schedule was divided into phases. Analytical meetings, system configuration, testing, training, and go-live were executed step-by-step, with close collaboration between the NMI ERP project team and key Accace users.
Thanks to the high level of engagement from both teams and the experience of NMI ERP consultants who optimized key processes, the entire implementation ran smoothly and according to plan. Flexibility in organizing work and ongoing communication played an important role, allowing for quick decision-making and responsiveness to end-user needs.
Benefits of the Implementation
Currently, both parties are finalizing a service agreement to ensure ongoing technical support and ERP system development. Accace emphasizes that thanks to NMI ERP's commitment and competence, the rapid implementation brought real added value to the entire organization.
The implementation of Microsoft Dynamics 365 Business Central with dedicated extensions significantly improved accounting processes and addressed Accace's business needs. The system enabled automation of many operations and enhancements in customer service, reducing manual work and increasing control over financial data. The implementation of solutions such as Companial's Polish localization and APAF ensured full regulatory compliance and prepared the company for future legislative changes.
Thanks to system customizations, its open architecture, cloud technology, and easy integration with other applications, the ERP platform can be further expanded and integrated with additional tools and modules. This provides the organization with a solid foundation for continued digitalization of services, process automation, and increased productivity. Tangible improvements in accounting team performance and the scalability of the solution are the key outcomes, already translating into business value.

The Companial localization enriches the system with a number of essential features for operating in Poland, including:
• JPK (Standard Audit File for Tax) handling, including JPK_V7M, JPK_KR, and JPK_FA structures;
• Expanded VAT registers required by local regulations;
• Automatic calculation of exchange rate differences using the FIFO method.
Companial continuously works on updates and enhancements to the Polish localization to ensure full compliance with upcoming tax law changes. As a result, Business Central users, including Accace, are well-prepared for future requirements such as JPK_CIT reporting or sending invoices to the National e-Invoice System (KSeF).”
