Scope of Implementation

The company decided to implement the Microsoft Dynamics 365 Business Central system across its entire organization. The project covered a wide range of business areas, including recruitment, HR, accounting, warehouse, project management, settlements, dispatch, and management. The primary goal was to integrate all processes within a single, modern ERP system to enable more efficient organizational management, increase operational transparency, and ensure seamless integration with other systems used by W&K.



Challenges and Dedicated Solutions

During the preparation phase, a number of challenges were identified due to the specific nature of W&K’s operations. These included the need to integrate HR and project data, dynamically manage warehouse resources, and handle complex logistics processes in the dispatch department.

To address these needs, the NMI ERP team designed several dedicated solutions. These enabled data synchronization between Business Central and the ESOD electronic document circulation system, as well as integration with the eRecruiter platform for recruitment purposes. HR data was integrated with Symfonia HR and Payroll and the e-Pracownik system, ensuring consistency and automation of HR processes.

Warehouse management was streamlined through the implementation of the Warehouse Insight application, which facilitated efficient tracking of warehouse movements. Employee working time is now registered using a PowerApps application integrated with Business Central. Additionally, information about business trips is automatically retrieved thanks to integration with the MyCar application, allowing for real-time tracking of kilometers traveled and assignment of transport costs to the appropriate projects and tasks.

The greatest challenge proved to be ensuring full compatibility between all implemented modifications and external systems. It was essential to design and implement these solutions in a way that would ensure coherent operation within a single environment while fully meeting the functional goals of each company department.

Implementation Timeline

The implementation process began in June 2023 and was scheduled to be completed by July 2024. The entire project was divided into three priority phases. The first phase was planned for completion by the end of 2023, while the remaining two were scheduled for completion by the end of July 2024. The work schedule was regularly updated throughout the project during project meetings, which allowed for real-time adjustments to the sequence of activities based on the client's evolving business needs.

Benefits of the Implementation

Thanks to the implementation of Microsoft Dynamics 365 Business Central, W&K gained the ability to monitor and control key organizational processes in real time. The integration of recruitment, HR, warehouse, accounting, project, and dispatch operations significantly reduced response times to operational needs and simplified interdepartmental communication. The new system enabled better resource planning, more efficient project management, and ensured compliance with reporting and accounting requirements. The changes led to increased work efficiency and a reduction in errors caused by manual data processing. Moreover, the system supports the ongoing development of the organization by providing scalability and flexibility.
