Scope of implementation
IBCS Poland previously used the Microsoft Dynamics NAV 2016 system. The project’s objective was to transition to a newer version—Microsoft Dynamics 365 Business Central 14—along with database and user migration.
The decision to upgrade resulted from the ending support for the existing system and growing legal requirements, including JPK reporting.
A key project assumption was to preserve the existing system logic while transitioning to modern technology and a web-based environment. This allowed users to continue working in a familiar system while gaining access to new capabilities.
Challenges and Dedicated Options
Due to the company’s business specifics, it was necessary to prepare dedicated solutions that addressed real operational needs.
One of the key challenges was organizing an extensive database while maintaining business process continuity. As part of the project, the decision was made to use an opening balance, which allowed limiting the migration of unnecessary historical data and organizing the system structure.
An important element was also transferring and adapting existing modifications from the earlier system version. This required proper environment preparation and implementation planning to ensure all functionalities worked correctly in the new Business Central version.
Additionally, a dedicated solution for warehouse document handling was implemented. The standard inventory journal was extended with the ability to define document templates, which significantly streamlined user work.
As a result:
• automated the warehouse document creation process
• reduced the need for manual parameter configuration
• introduced consistent document handling principles across the entire organization
The system enables handling of documents such as PZ, WZ, MM, PW, and RW, as well as defining custom document types tailored to the company’s needs.
Additional tools and system development
The system upgrade also created space for implementing modern analytical tools.
As part of the project, Microsoft Power BI was implemented, replacing previously used reporting tools. This enabled:
• creating more flexible reports
• access to current data in real time
• better support for decision-making processes
Implementation time
The entire process—from needs analysis, through environment preparation, to system launch—took approximately 6 months.
The project was planned and executed in a manner enabling a smooth transition to the new system version without disruptions to the organization’s daily operations.

Benefits of implementing the changes
Since implementation, 26 users have been working with the system, and the transition to the new version proceeded smoothly thanks to the familiar interface and training support.
Key results of the implementation:
• noticeable increase in system performance
• improved reporting and compliance with JPK requirements
• access to advanced analytics through Power BI
• organized data and better work organization
• opportunity for further system development and expansion
The system was also adapted to the company’s specific needs, and its development continues as part of ongoing cooperation.
IBCS Poland also benefits from NMI ERP technical support, which enables quick response to business needs and further optimization of system operations.
