Scope of implementation

The company opted for a comprehensive implementation of Microsoft Dynamics 365 Business Central. The project covered a wide range of the company’s operational areas, including departments such as recruitment, HR, accounting, warehouse, projects, settlements, dispatch, and management.

The goal of the implementation was to integrate processes within a single, modern ERP system, which allowed for more effective organizational management, increased operational transparency, and integration with other systems used by W&K.

Challenges and Dedicated Options

During the preparation for the implementation, a number of challenges arising from the specifics of W&K’s operations were identified, including the need to integrate HR and project data, dynamic management of warehouse resources, and handling complex logistics processes in the dispatch department.

In response to these needs, the NMI ERP team designed a series of dedicated solutions that enabled data synchronization in Business Central with the ESOD electronic document workflow system, as well as integration with the eRecruiter platform for recruitment. HR data was connected with the Symfonia Kadry i Płace and e-Pracownik systems, ensuring consistency and automation of HR processes.

Warehouse management was streamlined through the implementation of the Warehouse Insight application, which enabled efficient recording of warehouse movements. Employee time tracking is now done using the PowerApps application, integrated with the Business Central system, while information on business trips is automatically retrieved thanks to integration with the MyCar application. This allows for continuous tracking of kilometers traveled and assignment of transport costs to appropriate projects and tasks.

The biggest challenge proved to be ensuring full compatibility between all implemented modifications and external systems. It was essential to design and implement them in such a way that they would operate cohesively within a single environment, while fully achieving the intended functional goals in each of the company’s departments.

Implementation time

The implementation process began in June 2023 and was scheduled to conclude in July 2024. The entire project was divided into three priority stages. The first was planned to be completed by the end of 2023, with the subsequent two by the end of July 2024.

The work schedule was regularly updated during project meetings, allowing for ongoing adjustments to the sequence of activities based on the client’s business needs.

Benefits of implementing the changes

Thanks to the implementation of Microsoft Dynamics 365 Business Central, W&K gained the ability to continuously control key processes within the organization. The integration of recruitment, HR, warehouse, accounting, project, and dispatch areas allowed for reduced response times to operational needs, as well as simplified communication between departments.

The new system enabled better resource planning, more effective project management, and compliance with reporting and accounting requirements. The changes introduced contributed to increased work efficiency and a reduction in errors resulting from manual data processing.

The system also supports the organization’s further development, ensuring scalability and flexibility.
